##  Overview 

Microsoft 365 combines document collaboration and sharing, email and calendar, productivity apps, and communication tools into a single, web-based platform. Because the services and your data are in the cloud, you have access from virtually anywhere at any time. Popular Microsoft 365 apps include:

- **Outlook:** email, calendar, and integrated access to the full University directory
- **Teams:** secure, team-oriented, collaboration center that integrates several Microsoft 365 apps into a single workspace
- **SharePoint:** secure platform for file sharing and collaboration that supports external sharing with non-Harvard faculty and staff, and optional [Level 4 data](https://privsec.harvard.edu/classify-risk) storage (with restrictions)
- **OneDrive:** secure storage of an individual’s work-related files
- **Microsoft Copilot (Basic)**: AI chatbot featuring chat, content generation, and analysis of uploaded files. It uses current web data, with helpful prompt suggestions to guide interactions.

If you have a Harvard-provided computer, you also have access to the desktop version of Microsoft 365 (Office).



 

 ### Eligibility

**Faculty, staff, researchers,** and **students**\* in Central Administration, FAS, College, DCE\*\*, GSAS, SEAS, GSD, GSE, HDS, HKS, HLS, HMS (Quad), HSDM (Quad), Radcliffe, SPH

\*College and DCE students are not eligible for Microsoft 365 email

\*\*Extension admitted degree and premedical programs only



 

 ### Data classification level

Approved for up to [Level 3 confidential data](https://privsec.harvard.edu/classify-risk)

Approved for up to [Level 4 confidential data](https://privsec.harvard.edu/classify-risk) when:

- Sending data using [Outlook encryption](https://harvard.service-now.com/ithelp?id=kb_article&sys_id=cea973b3dbf8e0d0441560fdd39619d8)
- Storing data on SharePoint site configured for Level 4 confidential data ([by request only](https://harvard.service-now.com/ithelp?id=sc_cat_item&sys_id=6de6b5856ffcb100a54fa981be3ee4a8))

Included storage varies by license type and app:

**Outlook:**

- A3 and A5: 100 GB
- A1: 50 GB
